Outsource Something Medium
So in the last session, we're talking about how you can outsource a little thing, things that are not really important, don't really have a lot of weight to them, maybe there's no risk. So now I wanna talk about how we can get to the more medium-sized projects and in the next session we'll talk about a really big one. So with the medium ones, you're starting to get a little more trust. You can start to get into a little bit more of a specialized nature. You can decide that there's gonna be things involving passwords, or you really need people to have inside information or know a process of how you're gonna do something. Something like creating an Excel sales report on a weekly and monthly basis, so something that's a recurring task, that's another good one to start using, so you get some continuity here. So there's a number of different facets here that I want to unpack. The first one is that if you do have a recurring task that can't just be automated, you need to figure out about tha...
t continuity, about how somebody else can do it for you, and not be the only person that can do it for you. So this goes back to optimize, automate, outsource, which we started off this whole course with. If you can start to identify the way the process works, figure out the most optimized way inherently you can make that checklist. We look at what can be automated, and then at the end we look at how we can outsource. You're going to error proof the process. Now if you have a process that does need repeated on a regular basis, generally speaking, and I think a lot of people would just assume that it's really easy to have one person to just do it. They get familiar with it. The problem with that is that the person will become too familiar with it and they might start to mess things up. And I know that sounds crazy, but at some point there's a curve to these things and yes, you get better and better and better, and then you get bored and more bored and more bored, and you start missing items. There's a reason that commercial airline pilots still follow checklists, even though they've done it 10,000 times. Just ... you can't mess up. If you can start to get a process in place that you need to outsource regularly, it's nice to actually move that around to different services, different providers because then you can not only test the process itself, and see how different people handle it, but you start to be able to increase your bandwidth. So let's say you need to do something that's weekly, but then things are, you know, things are getting bigger. Things are different companies or different partners or different schedules. You start to be able ... You want to do that stuff daily now. Same process, but now you want to do it daily, because there's just more volume. Maybe the same person who did it originally can't do that, so you need to be able to have 10 different people doing the same process, and then maybe that has to start happening multiple times a day. A good example of this would be social media management. When someone's starting out, you know, maybe they're doing three or four posts a day, and maybe they're liking a couple of comments, but then as you get thousands and thousands of followers eventually, you need to start doing a lot more volume. You need to scale the way you do that. So I would consider almost any recurring task to be sort of a medium task. And then again, these are gonna be the things we're gonna start to look at those logins, so that password managers that we talked about earlier become more relevant now. So you look at that list that we made, that to-do list, we look at that six levels of delegation and see where in those buckets we see those medium level projects, so maybe this is a much more in-depth research project that we need done. Maybe we need somebody to log in, generate these reports. This is where I think about people starting to do QuickBooks and reconciliation. Maybe creating invoices, maybe doing customer service, and handling sales calls, whatever it might be. So this is those sort of medium ones. Now the other thing about this is that the timeliness of these, so it's a medium project, this is not necessarily the kind of project ... so it might be something we kinda do on a recurring basis every week for many, many months, but it's not the kind of thing where there's a 1000 hours of work, right. So these are just sort of operational things that we need to do. So what I would want you to do now is start to look at these things in your, even in your personal life, but definitely in your business, those items that are recurring, the things that require proprietary access, and maybe there's even sensitive information. You might need an NDA, or Non-Disclosure Agreement, for people that work on this stuff, and that might involve moving parts. But these are gonna be the projects that are not necessarily a lot of time all at once, but they might be ongoing. That's the right way to think about that.
